TERMS & CONDITIONS / VENUE HIRE POLICY

Our goal at Tipsy Hammock is to ensure your event is seamless, enjoyable and professionally

managed. To ensure the venue operates safely, legally and efficiently,

the following Terms and Conditions apply to all bookings.

By confirming a booking and paying the required deposit, the client confirms that

they have read, understood and agreed to these Terms and Conditions in full.

1. VENUE OVERVIEW

Tipsy Hammock is a fully licensed event venue operating in compliance with applicable:

  • National legislation

  • Provincial regulations

  • Municipal by-laws

  • Liquor licensing laws

  • Public safety and health regulations

Management reserves the right to enforce all laws and venue policies to ensure

the safety and enjoyment of guests and neighbouring properties.

2. DEFINITIONS

Venue
Refers to Tipsy Hammock including all facilities, furniture, fixtures, equipment,

parking areas, gardens and surrounding premises.

Client / Hirer
The individual or organisation responsible for the booking and payment of the venue.

Event
The function, celebration or gathering held at the venue.

Management
The owners, management team, staff or authorised representatives of Tipsy Hammock.

3. VENUE CAPACITY

The maximum capacity of the venue is strictly limited to 100 guests.

This includes:

  • Guests

  • Event organisers

  • Caterers

  • DJs and entertainers

  • Service providers

This capacity limit is enforced in accordance with fire regulations and safety laws.

Management reserves the right to refuse entry to additional guests once the capacity limit has been reached.

4. EVENT DURATION

Each venue booking includes:

• 2 Hours Setup Time
• 8 Hours Event Duration

All events must conclude at the agreed end time.

Any extension of the event must be approved in writing by management and may incur additional charges.

All guests, service providers and equipment must be removed within the agreed rental period.

5. VENUE HIRE INCLUSIONS

The venue hire includes the use of the following basic venue equipment:

• Basic crockery
• Glassware
• Cutlery
• Basic event tables
• Venue chairs
• Black tablecloths

These items are provided for standard use during the event and must be returned

in the condition received. Clients are responsible for any loss, damage or breakage of these items.

6. SOUND AND LIGHTING EQUIPMENT

The standard venue hire does NOT include electronic sound or lighting equipment.

Should the client wish to use the venue’s sound system, DJ equipment or lighting equipment, this must be arranged with management in advance.

Use of sound and lighting equipment will incur an additional rental fee.

Unauthorised use or tampering with venue equipment is strictly prohibited.

7. PARKING

Secure parking is available for guests.

Tipsy Hammock accepts no responsibility for loss, theft or damage to vehicles

or personal belongings while on the premises.

8. BOOKING CONFIRMATION & PAYMENT TERMS

Deposit

A booking is only confirmed once a 50% deposit has been received.

The deposit:

• Secures the booking date
• Is non-refundable
• Excludes the security deposit

Until payment reflects in our account, Tipsy Hammock reserves the right to accept alternative bookings.

Final Payment

The remaining balance must be paid 7 days before the event date.

This includes:

• Outstanding venue hire
• Cleaning fee
• Additional services or equipment
• Security deposit
• Any optional extras

Failure to settle the full amount by the due date may result in cancellation of the booking without refund.

9. SECURITY / BREAKAGE DEPOSIT

A refundable breakage deposit of R2500 is required.

This deposit:

• Is invoiced separately
• Is not included in the venue hire quotation
• Must be paid before the event date

Deposit Refund

Following the event, management will conduct a post-event inspection.

The deposit will be refunded within 5–7 working days provided that:

• No damage occurred
• No items are missing
• No excessive cleaning is required
• Venue rules were followed

Deposit Deductions

Deductions may be made for:

• Damaged property
• Broken crockery, cutlery or glassware
• Missing equipment
• Excessive cleaning
• Unauthorised overtime usage
• Rule violations

If damages exceed the deposit, the client will remain liable for the balance.

10. ALCOHOL POLICY (STRICT)

Tipsy Hammock operates under a valid liquor licence.

No Outside Alcohol

Guests are strictly prohibited from bringing or consuming their own alcohol on the premises.

All alcohol consumed at the venue must be supplied by Tipsy Hammock or through an arrangement approved by management.

Enforcement

Management reserves the right to:

• Confiscate outside alcohol
• Refuse service to intoxicated guests
• Remove disruptive guests
• Terminate the event if liquor laws are violated

11. SELF-CATERING POLICY

Tipsy Hammock is a self-catering venue.

Clients may bring their own food or catering providers subject to the following:

• Caterers must comply with food safety regulations
• Caterers must remove all equipment after the event
• The kitchen and preparation areas must be left clean

Management reserves the right to refuse caterers who do not meet health and safety requirements.

12. NOISE AND MUNICIPAL BY-LAWS

The venue complies with local municipal noise regulations.

All events must adhere to these by-laws.

Management reserves the right to:

• Reduce sound levels
• Stop music
• End the event if regulations are breached

Violation may result in termination of the event and loss of the security deposit.

13. DECORATIONS

Decorations are allowed with prior approval.

The following are not permitted:

• Confetti or glitter
• Nails, screws or staples in walls
• Open flames without approval
• Fireworks or pyrotechnics
• Smoke machines without approval

All decorations must be removed after the event.

14. CHILDREN

Children are welcome but must be supervised at all times.

The venue accepts no responsibility for injuries involving unsupervised minors.

15. CLEANING

The venue must be left in a reasonable condition.

This includes removal of:

• Decorations
• Catering equipment
• Personal belongings

Excessive cleaning may result in additional charges or deductions from the security deposit.

16. DAMAGES AND LIABILITY

The client is responsible for:

• Their guests
• Contractors
• Service providers

The client agrees to indemnify Tipsy Hammock against:

• Injury to guests
• Damage caused by guests
• Loss of personal belongings

The venue will not be liable for theft, injury or damage to personal property.

17. STRICT CANCELLATION POLICY

Due to the nature of event bookings and potential loss of revenue, Tipsy Hammock enforces a

strict cancellation policy.

All cancellations must be submitted in writing via email.

Cancellation Schedule

Notice Period                            Cancellation Fee

60+ Days before event               50% of deposit forfeited

30 – 59 Days before event         100% of deposit forfeited

15 – 29 Days before event          75% of total booking fee forfeited

14 Days or Less before event    100% of total booking fee forfeited

Important Notes

• Deposits are non-refundable
• No refunds for late arrival or early departure
• Bookings are not transferable without written approval
• Date changes may be treated as a cancellation and new booking

18. FORCE MAJEURE

Tipsy Hammock will not be liable for cancellations due to circumstances beyond its control including:

• Severe weather
• Natural disasters
• Government restrictions
• Utility failures
• Fire or damage to the venue
• Public emergencies

Management may offer:

• An alternative date
• A refund at management’s discretion

19. MANAGEMENT RIGHTS

Management reserves the right to:

• Refuse entry to any person
• Remove disruptive or intoxicated guests
• Enforce venue policies
• Terminate events where rules are violated

If an event is terminated due to rule violations no refund will be issued.

20. ACCEPTANCE OF TERMS

Payment of the deposit confirms that the client:

• Has read and understood these Terms and Conditions
• Accepts full responsibility for their guests and suppliers
• Agrees to comply with all venue policies
